JOB SUMMARY

The Library Facilities Planning Department (LFPD) is responsible for all facility planning, construction, maintenance, security, signage, accountable property, office supply distribution, and a system-wide mail and courier service for the Smathers Libraries, which include seven facilities with over 350,000 square feet of building space.

The Facilities Assistant helps manage the day-to-day operations of the department and assists with building maintenance by responding to the needs of all branches, and storage facilities, as well as individual library offices. Triages facilities work orders, ensuring the timely and satisfactory completion of requested work. Addresses maintenance problems, performing support functions to keep the library operate in a consistent and seamless manner. Assists with the mail collection and distribution for the Libraries.

RESPONSIBILITIES

Work Orders

Works directly with the Maintenance Generalist to resolve work order requests in each library facility within the George A. Smathers Library system. Follows through with tickets submitted and provides timely status updates.

Maintenance

Participates and assists in coordinating all renovations and library facilities projects working closely with vendors, and appropriate library and university employees. Handles minor repairs to Library equipment and building mechanical systems. General facilities duties including, but not limited to painting, replacing light bulbs, cleaning, general repair, and furniture moving. Performs minor welding and carpenter repairs. Assists in departmental moves as requested.

Office Support

Greets guests and answers general questions. Answers, screens, and directs department phone calls to the correct person. Supports the Facilities & Security Department by filing, copying, faxing, and scanning as requested. Duties will also include word processing and managing Outlook calendar.

Mail Delivery

Delivers mail and other documents to departments and other library locations on and off campus.

Participates in special projects and performs other duties as assigned. Serves on committees as appointed and participates in staff development opportunities.

QUALIFICATIONS

Required:

Completion of the ninth (9th) grade and one (1) year of appropriate experience. Appropriate vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred:

  • Previous maintenance experience
  • Ability to work collaboratively to accomplish goals
  • Experience with photocopiers and printers
  • Experience with Microsoft Word and Outlook
  • Good communication skills
  • Good customer service
  • Capable of working independently
  • Punctual and reliable
