Job Description:
Fund Management
• Oversee the establishment of new funds and matches endowed funds with their respective gift agreement criteria.
• Coordinate communication between fund administrators and UFA/IFAS leadership.
o Maintain fund histories and documentation for questions related to fund usage.
o Oversee the proper training communication from UFA and fund administrators.
o Supervise best management practices for fund usage and clarifies policy with faculty/administration.
o Prepare fund overviews and projections for Advancement staff and fund administrators as required.
• Maintain IFAS endowed and non-endowed funds.
o Prepare all paperwork and instruction for the lifetime of funds (opening new funds, spending policies and decisions, fund revisions, and closing funds).
• Serve as the primary point of contact for low utilization funds and coordinate the decision-making process for management of those funds.
• Maintains information for funds giving websites and follows up on creation of new website links as funds are opened.
• Coordinate and process all gifts-in-kind, with special emphasis on Extension gifts-in-kind
Budget & Finance Administration
• Prepare and manage the annual IFAS Advancement Office budget.
• Plan and monitor budgets for strategic initiatives and special events in partnership with development officers.
• Delineate the use of UFA/IFAS budget and state appropriated monies devoted to development and alumni events.
• Oversee expenditures.
• Reconcile accounts and spending discrepancies.
Annual Endowment Reporting
• Manage the annual endowment reporting (AER) process for UF/IFAS in collaboration with UFF Donor Relations.
• Ensure timely implementation of the annual endowment reporting process with approximately 44 IFAS fund administrators and their assistants - managing data for over 200 endowments - including the IFAS Senior Vice President and three IFAS Deans, to meet UFF Donor Relations deadlines.
Human Resource Liaison
• Primary Human Resources contact for IFAS Advancement.
• Responsible for coordinating with IFAS HR, UFF HR, and UF HR on upcoming hiring initiatives, as well as managing the onboarding of new employees and offboarding of departing staff.
• Handle various HR functions, including time reporting, time management, and employee transitions.
• Attend weekly HR Trainings.
Perform related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions related to this position.
Expected Salary:
